Specific Job Duties: Maintain complex calendar, schedule appointments, meetings, conference calls, and coordinate travel arrangements for the Linc Area Vice Presidents Provide the COO with AVP Report on the first of every month Support the Canonsburg staff by preparing materials (including printing, binding, boxing and shipping) to franchises/customers and other Linc partners Prepare high quality presentations, produce accurate, properly formatted reports and other documents using Microsoft Word, PowerPoint and Excel. At times, will prepare, organize, and maintain documents and files of a complex or confidential nature. Discovery day set-up and clean up. Organization and tidiness of all public areas including kitchens, conference rooms and training rooms. Write and proofread memos, emails, announcements and other communications. Work with the training coordinator in the preparation and coordination of training classes including setting up in the AM, for lunch and clean up. Establish and maintain effective and cooperative professional business relationships with all levels of management, employees, vendors, and companies. Demonstrate a high level of customer service, professionalism, and confidentiality in all communications. Will be the greater at the front door. Must be able to provide a professional greeting to all that enter the office. Ability to take initiative, make quick accurate decisions, stay focused and organized under pressure Must be detail oriented, highly proficient in multi-tasking, and experienced in working in a fast paced environment Must demonstrate strong project management, and communication skills, both verbal and written Advanced proficiency in software applications to include but not limited MS Word, Excel, PowerPoint, and Outlook Build relationships with cross functional team members and key employees Flexibility to take on other duties as assigned Assist with other business and personal matters as requested. Essential Functions Other: Job Knowledge/Experience: Minimum 2 years office management required. Must have a intermediate understanding of accounting principles and office procedures. Must be proficient in MS Word and Excel. Education/Training: High school or equivalent GED required. Prior training in business or office duties preferred. Language/Communication: Must be able to speak and communicate in English. Spanish skills desired.
