Job Summary
Provide office administration and/or office management support to departmental/functional area senior management and staff including a wide range of diversified administrative and office management duties requiring a broad knowledge of company practices, policies and procedures.
Key Duties & Responsibilities (in decreasing Critical Emphasis order)
Manage and organize databases and calendars, schedule meetings, coordinate training, make luncheon and travel arrangements and process travel expenses.
Prepare and maintain various documents, correspondence, spreadsheets and organization charts.
Coordinate data from a variety of sources for inclusion in reports, charts, spreadsheets and presentations. Perform research and prepare information for management review.
Manage, organize and facilitate administrative functions and projects to ensure that the department operates smoothly and efficiently.
Monitor and order office supplies for department including maintenance accounts as applicable.
Maintain department records and ensure that files are maintained in accordance with company policies and procedures
Respond to inquiries and requests for information and keep manager informed of any items requiring personal attention.
Screen and direct incoming calls as appropriate.
Provide back up support for other functions including, but not limited to facilities, reception and mail room.
Perform other duties as required.
Required Skills
Skills
Ability to maintain confidentiality and work with discretion. Proficiency at MS Word, Excel, and PowerPoint and meeting maker systems. Excellent interpersonal skills with the ability to effectively interact with all levels of personnel, including senior management. Ability to take the initiative to resolve problems with minimal supervision and instruction. Excellent organizational, communication and interpersonal skills. Must be detail oriented, creative, organized, able to balance priorities, meet deadlines and work independently. Effective listening and communication skills.
Required Experience
Experience (type & duration)
5-7 years administrative experience.
Formal Education
High school diploma or equivalent. Additional college-level courses or secretarial/business school training preferred.
