    DEFINITION:


    The Facilities Work Center Coordinator is primarily responsible for the operation and management of the Computerized Maintenance Management System that is designed to support the full functionality of all campus built environments through a rigorous maintenance and repair system. This position coordinates, and documents maintenance and repair work order requests of all campus facilities built environment grounds, buildings, systems and equipment using the Computerized Maintenance Management System (CMMS). The Facilities Work Center Coordinator collects and enters equipment data and assists the Division Managers and Coordinators in developing, implementing, and monitoring preventive and predictive maintenance and repairs in accordance with the Phoenix Union High School District (PUHSD) Service Delivery Model. Performs other related duties as assigned.

    ESSENTIAL FUNCTIONS:

    1. Provides excellent customer service and practices executive and customer communications to assure facilities management services are effectively disseminated throughout the district. Handles customer inquiries, answers service calls, responds to service emails and follows up customer calls and complaints where necessary. Uses emails, telephone, meetings, newsletters etc. in a planned and controlled way to communicate and receive communication from and to district leadership, school campus leadership, customers, maintenance and support staff, vendors and contractors.

    2. Fully understands, manages, maintains and operates the Computerized Maintenance Management Software application, including the priorities for maintenance and repairs requirements of district school campus, administrative and support buildings and grounds systems and equipment per the district’s Service Delivery Model. Fully understands and manages department’s technology and systems requirements including IT, Software and Communications.

    3. Receives, verifies and prioritizes work requests from campus contacts per the district’s Service Delivery Model. Creates work orders, enters labor, contract and materials charges against the work orders and closes work orders when complete. Identifies and escalates priority issues. Routes urgent/emergent calls to appropriate resource.

    4. Acts as the communications center and dispatch for trades and professional staff. Coordinates cross-trade work order requests for maximum effectiveness and efficiency.

    5. Manages and maintains the integrity of the data in the CMMS, performs periodic updates of critical information. Trains others in the use of the work order system. Produces and shares periodic CMMS reports in accordance with Position Standards of Excellence.

    6. Develops process relative to the CMMS. Maintains a complex filing system. Processes confidential information.

    7. Fully understands and manages work requests for special projects and requests for capital construction projects through the CMMS.

    8. Assures compliance with the district’s Service Delivery Model for repairs, maintenance, and operations for trade shops,
    custodial, grounds, security, emergency response and service requests.

    9. Performs periodic billing of work orders. Control inventories assigned to Facilities Management. Fully understands and assists in development, management and reporting of departmental Maintenance and Operating budgets including labor distribution in accordance with work order system priorities as mandated by the PUHSD Service Delivery Model.

    10. Fully understands and demonstrates proficiency in the district and facilities department core management and leadership competencies in accordance with Position Standards of Excellence.

    QUALIFICATIONS:

    1. High school diploma or equivalent.

    2. Five years’ experience in an office setting, preferably in maintenance operations and repair services or a related environment.

    3. Knowledge of maintenance operations.

    4. Ability to plan, schedule and implement multi-phase projects involving other participants.

    5. Ability to work under pressure to meet deadlines, re-assign priorities quickly, and exercise resourcefulness in addressing new problems.

    6. Strong written and oral communication skills.

    7. Proficient in relevant computer applications.

    8. Knowledge of customer service principles and practices.

    9. Knowledge of work center telephony and technology.

    10. Experience in a call center, customer service or related environment.

    11. Good data entry and typing skills.

    12. Knowledge of administration and clerical processes.

    13. Knowledge of budget processes and practices.
